How to become
an affiliate:
- Criteria for
Eligibility
- An Affiliate
Group is defined by the Museum Association of Arizona Board of Directors
as "an organization, either within the museum field or representing
an i: academic or professional organization which has concerns relating
to the organizational objectives within the museum field, and which
has ethical standards, ,~ academic background, and objectives in
common with those of the MAA."
- Membership
must be based upon an identifiable academic background or clear
relationship to the goals and/or activities of the MAA.
- Affiliate
Groups must be regional in geographic area; i.e. representative
of the southern, central, western, or northern regions, or any combination
thereof, of Arizona.
- Guidelines
and Procedures
- A minimum
of 50 percent of individual members from a petitioning Affiliate
Group must hold concurrent MAA individual membership, or be employed
by a MAA Institutional member prior to receiving authorization to
Affiliate Group status.
- The petitioning
Affiliate Group must provide a written request to the MAA Board
on or prior to September 1 of each year, for consideration of authorization
and subsequent voting by the membership of the MAA.
Such written request must include the following information:
- range
of geographic representation;
- roster
of current members, to allow the MAA to determine that 50% or
more of the petitioning Affiliate Group are MAA members;
- organizational
goals and/or objectives;
- brief
history, including significant actions, meeting schedules, newsletters,
and other evidence of ongoing organizational activity;
- a formal
written request for Affiliate Group status, signed by the President
or Chair of the petitioning organization.
- Authorized
Affiliate Groups are invited to nominate one member, typically their
current President or Chair, to serve as a member of the MAA Board
of Directors for a period of one year. This nomination will be part
of the MAA's Nominating Committee deliberation process, with the
nominated slate of officers to be voted upon by the MAA membership
at the MAA's Annual Meeting.
- Affiliate
Groups must be re-approved by a majority vote of the MAA Board in
the third year following initial authorization, and every three
years thereafter. Re-approval will be contingent upon the ongoing,
positive participation of the Affiliate Group in the MAA, and the
submission of a current membership roster to allow MAA to certify
that at least 50% of Affiliate Group members are MAA Individual
members in good standing, or employed by a MAA Institutional member.
- Affiliate
Groups are permitted to apply for grants or other methods of financial
support utilizing the MAA, and its 50l(c)(3) status, as a fiscal
agent: all grants or other methods of financial support shall be
payable to the Museum Association of Arizona, and directed to the
MAA Treasurer for deposit in the appropriate account(s) of the MAA.
The MAA Treasurer shall then make disbursements in the required
amounts at the appropriate date(s) and time(s) that support the
Affiliate Group's activities.
Every such grant or support request shall be submitted in its entirety
for approval by the MAA Board prior to being submitted to the funding
agency/source. The Affiliate's Board; representative will then provide
budget and status reports to the MAA Board at each quarterly Board
meeting, and the Affiliate Group will provide a written Final Report
to the -" MAA Board detailing the results obtained through
the grant or other method of financial support, within thirty (30)
days of the conclusion of the funded activity(s).
- An Affiliate
Group may propose its own program(s) for inclusion in the MAA Annual
Meeting. Such program(s) must be included in the overall Annual
Meeting budget and subject to budgetary and content approval by
the MAA Annual Meeting planning committee.
- Utilization
of the MAA's non-profit, 501 (c)(3) status does not include direct
or indirect financial or monetary support from the MAA to its Affiliates.
- An Affiliate
Group shall have the authority to maintain a dues and/or assessment
requirement for membership, however, all dues notices and solicitations
for membership must specifically state that the dues for the Affiliate
are "in addition to any dues paid to MAA for MAA individual
membership.
